Final Touches for Transcripts
Generating the Transcript Audit Report provides the ability to undertake analysis on grades that have already been posted to the transcript. It compares any differences in the posted transcript grades with the teacher’s grade book or the source grading data.

When a transcript record is modified on the Transcript tab, it will appear on the audit report.

Example: A student’s Semester 1 grade is modified in Semester 2.

The modification is not reflected in the teacher’s Semester 1 grade book. To use the Transcript Audit Report use the path
Grading & Standards > Reports > Transcript Audit Report > Generate the Report.

Hint: Uncheck Comments if you do not post comments on the transcript.
Students that have graduated should be reported to the BIE. To report graduated students, enter the information under Student Information > Enrollments > Bureau of Indian Education Reporting > Choose the End Status and Diploma Type.
In addition, be sure to data enter the student’s graduation date under Student Information >Enrollments > Graduation in order for graduation dates to appear on the transcript.

Best Practices
Inactivating Staff Accounts in NASIS

As a best practice, Infinite Campus recommends ending or disabling staff accounts at the end of the school year due to high staff turnover. By keeping the staff user accounts current and up to date adds another level of security for the NASIS system.

You can end a staff account using an expiration date or disable it using the Disable checkbox on the user’s account tab. The method used to inactivate the account should be according to school policy.

To access a staff user account:

  1. In the Index, navigate to System Administration>User Security>Users
  2. Search for or type in the last name
  3. Click on the grey user name below the staff person’s full name.
  4. On the User Account tab, enter an Expiration Date or mark the Disabled checkbox.

When the new school year begins, remember to reactivate the accounts for returning staff members.

Need to track specialized data in addition to the existing fields? Why not create your own field?

If you need something simple like a checkbox for tracking if a staff member has completed the Security Awareness Test (SAT) or something more complex like a series of dropdown lists with particular default values, the first step is to decide where you want that field to appear and who you want to give access to see or modify the data.

The example on the following page is primarily for tracking completion of the SAT. However, the general steps do apply to creating any custom field.

  • Decide where you want that field to show up
