Tech Focus
Spring has sprung! Now is the time to focus on those “end of year processes” and prepare for next fall. There are three major processes required to create schedules for students in next year’s calendar.
  • Create a new calendar and roll selected items into the new calendar (such as courses, period schedules, etc.)
  • Roll students forward
  • Roster students into next year’s classes

**Remember that your Technical Account Managers are available at 1-800-605-7570 to assist you in any of these processes**

Creating a New Calendar/ Roll Forward Data Elements
To create a new calendar, navigate to the Calendar Wizard (System Administration>Calendar>Calendar Wizard). This tool is used to roll forward items of your choice from the existing calendar to a newly created calendar, as indicated in the graphic below. Since the new calendar is created based on the existing calendar, the system administrator will need to adjust information (such as term dates and calendar days) on each of the calendar tabs. Select the data elements (such as courses, grade levels, etc) that you wish to roll from this year’s calendar into next year’s calendar.

Best Practices
Roll students forward before ending enrollment. Otherwise you lose the names of students to roll forward.

Before rolling forward the calendar on your production site, try it out on your training site (https://training.bie.infinitecampus.com/campus/<yourschoolname>_training.jsp). What’s a training site? It’s a site you heard about back im Group Training and it exists for you to practice on - so don’t be a fool, stay in school and use your training site.

The Calendar Roll Forward tool is found in the System Administration module > Calendar Wizard. Once you open the Calendar Wizard read the instructions carefully and roll the appropriate data into the new calendar.

Defining the Lingo
The School Years tab lists all the years for which data is stored in the Campus program. Only one school year is marked as the active year at any given time.

The Calendar tab lists the start and end dates of the calendar, student and teacher day minutes, and whole and half day absence thresholds. Once the calendar information is established, schedule structures, period schedule, terms and grade levels can be connected to that calendar.

Schedule Structures are used for setting up course rotations. It allows a school to have different types of schedules in one calendar.

Period Schedule is the list of the start and end times of the periods meeting throughout a school day. You may have more than one period schedule to accommodate regularly scheduled abbreviated days

Cowbells and Eagle Whistles
Here are a few tips to set up the NASIS calendar and structure for next year. When creating a school calendar for the 07-08 school year, decide whether or not your school needs multiple calendars, schedule structures, or period schedules. This is the time to make any changes for the next school year.

When setting up your school’s calendar for 07-08, consider the following:

  • Structural Flow
  • Multiple calendars, multiple schedule structures, multiple period schedules
  • Calendar Roll Forward

Structural Flow
The basic structural flow for calendar information provides insight to how the NASIS structure works. All information is tied to a school year, district, school, and calendar.
