This Month's Feature-
Carla Isham
Carla’s main focus is to meet the support needs of our BIE schools. She also offers guidance and feedback to schools that want a better understanding of NASIS (Infinite Campus) and how to leverage that knowledge to meet the unique needs of the BIE. Often, Carla’s voice will be the first voice you hear when you call the support line.
Infinite Campus has kept her busy for the past year. Prior to that, Carla had spent more than nine years working as a Health Unit Coordinator for medical facilities in the Twin Cities area. As an enrolled member of the Red Lake Band of Ojibwe, Carla enjoys going home for pow-wows and gatherings. In her free time you can catch Carla rooting for her favorite football team, The Vikings. |

Best Practices
Mid-Year Grade Level Change
If you have a student who will be transitioning from one grade level to another in the middle of the year, it is important to create a new enrollment (Student Information>General>Enrollments>New) prior to ending their existing enrollment (Student Information>General>Enrollments>End Date).
By ending their current enrollment the system will automatically put an end date on the student’s scheduled courses.(Student Information>General>Schedule). Courses that have been ended will appear with a date below the course. The date will also appear if the student began the class after the beginning of the term. Open class periods will appear with the word EMPTY.

Are You Ready?
ISEP Certification for residential facilities is based on membership and attendance during a three-week period (count weeks). The ISEP Residential count weeks default to the first Sunday in October, the week prior to and the week following. Should the school need alternate count weeks, waivers must be approved and obtained through Glenn Allison with the BIE.
2008-2009 Count Weeks
Week 1: September 28 – October 4
Week 2: October 5 – 11
Week 3: October 12 – 18

Helping You
Instruction Module
The Instruction module of NASIS holds the tools most commonly used by a classroom teacher. These tools interface with the student’s schedule and attendance components of the system, allowing for one-time entry of student information. The purpose of this article is to show how your teachers can utilize this module to assist them with taking attendance, grading, lesson planning and the various reports that are available to them.

Student Record Transfer: Managing Requests
The record transfer tools allow schools to request and receive data from other schools for a transferring student. The following explains how the tool rights are laid out in order to give your staff adequate permissions to use this tool.
Process Inbox

The process inbox can display all incoming and outgoing requests for students at your school. When an incoming request is made from another school, a message is sent to every user account that has access to this tool.

NASIS Speak
- ISEP Verification Report – report used to audit and verify the data that is used in the Certification Report. The finalized version of this report is called the Certification Report. It is used to determine your school’s funding, which is calculated in the Allotment Report. There are two types of Verification Reports – one for residential programs and one for instructional programs. If your school doesn’t have a residential program, the Residential Verification Report will not be on your system.
- Exceptions – A portion of the Verification Reports where students are listed when their eligibility status requires further investigation. Students listed in this portion of the report will also be listed in either the Eligible or Non-Eligible section of the report. If a student is included in the Exceptions list, schools should investigate the student’s enrollment to verify that the student is indeed eligible or non-eligible. One example of when a student will show up on the Exceptions list is if the student has enrollments for different grade levels during the same academic year.
- Intensive Residential Guidance (IRG) – Used on the Residential Verification Report – This is “Y” if any code is selected from the IRG Code dropdown in the residential enrollment. To check if a code has been selected, go to Student Information>General>Enrollments>Bureau of Indian Education Reporting>IRG Code.
- Rec Special Education Svcs/Res Setting – This is also reported on the Residential Verification Report and indicates that the student is receiving special education services at their residential setting in addition to the services they receive in school.
- ResAtt – This indicator is used on the Residential Verification Report and will show a “1” if a student was NOT present for the required two “bedchecks” or if the student’s enrollment did not occur during the residential count period.
For a complete description of the Residential Verification Report and details of all indicators, check out the BIE ISEP User Guide available on the NASIS Project Portal: You can find the document under NASIS Documents and Forms>Docs>ISEP User Guide. |
