BIE Validation Report

A Validation Report has been created that allows the BIE and their schools to identify data errors with a series of alerts that appear on the report. From these alerts, users are able to see where the data issue is occurring and are able to select an HTML link that will take them to this area for easy correction.

 Users may run this report to display errors, warnings or both. Users may also choose to run this report for all categories of validations or sub-groups.  The sub-groups include:  Gifted and Talented, ISEP, LEP, SPED, Graduation.  Users can also run the report to validate their schools’ calendar to help determine proper set up.  The report can be run for their current school year as well as previous school years.  See the screen shot below for location of report and the options users can choose when running the report.

30 Day Residential Attendance Report

The Bureau of Indian Education (BIE) uses the 30 Day Residential Attendance report as part of the Indian School Equalization Program (ISEP) process. This report monitors residential programs and regulates funding for the schools based on the number of students in residence (attendance). The 30 day Residential Attendance Report provides the dates each student attended, dates of absences and the total number of the residence days for each 30 day period. The report will also identify students who met or failed to meet the residency requirements for the full 30 days. The 30 day Residential Attendance Report will not provide the funding calculations as it pertains to weighted student unit (WSU’s) or maintenance of residency levels.

Only students who are enrolled in a Residential Calendar will be counted in this report. To determine if a calendar is residential, the report will look at the type field on the calendar tab. The report can also be run for previous calendar years. To calculate 30 day reporting increments, NASIS will look at the first instructional/attendance date and count forward 30 calendar days. The report will look at the attendance module to determine whether or not a student was in residence.

State Enrollment Overlap Report

Without access to the BIE State Edition, NASIS District Edition users could not tell which enrolled students overlap with students on other NASIS District Editions. In version 10.1 there is now a State Enrollment Overlap report that checks he State Edition and reports overlaps between District Editions. The report looks at Primary enrollments only. Keep in mind that the report should not be run for 09-10 until the Bureau changes the scope year for synchronization purposes.

Generating the Enrollment Overlap report:

  1. Select the Grade level to include on the report. All grade levels can be chosen, but try to limit the amount as the more data selected for inclusion in the report may increase the generation time. An ad hoc filter can also be selected that has already been created in the Ad hoc Reporting Filter Designer.
  2. Select the School Year to be used for evaluating enrollments.
  3. Enter an Enrollment Date Range. Start and end dates for the report can be entered in mmddyy format or use the calendar icon to select a date.
  4. Determine if No Show enrollments should be included. No Shows are defined differently from state to state. No Show for this instance indicates the student’s enrollment record has the No Show checkbox marked. Mark the checkbox on the report editor as needed.
  5. The BIE considers students with a start date on the same day as a prior enrollment’s end date as an overlap. Be sure to include these on your report.
  6. .Determine how the report should be sorted – alphabetically, by grade level or by student number.
  7. If the report should be generated in HTML format, mark the Print in HTML Format checkbox.
  8. Click the Generate Report button. The report will generate in PDF format, listing the overlapping enrollments that match the entered criteria.

Once enrollment overlaps have been identified using this report, the schools can verify the student’s enrollment records. If there is difficulty determining which school the student attended, the registrars from both schools can work together to resolve the overlaps. Keep in mind, enrollment overlaps needs to be resolved prior to ISEP Certification.


Behavior Fields

Behavior Modifications for BIE Schools
The following modifications have been made for behavior reporting in BIE schools:

  • Event types and resolution types created by each school will no longer be mapped to BIE required events and resolutions. BIE required events and resolutions are now hard-coded into NASIS, adding additional behavior fields to the student Behavior Editor. Behavior events still need to be added.
  • BIE Event Name, BIE Weapon and BIE Location fields have been added to the Behavior Event editor.
  • A BIE Role field has been added to the Behavior Role editor.
  • A BIE Behavior Resolution field has been added to the Behavior Resolution editor.
  • BIE-specific fields have been added to the Behavior Referral. These include BIE Event Name, BIE Weapon and BIE Location.
  • A positive behavior event types can now also be recorded for BIE students.

Roster Batch Edit Tool

The Roster Batch Edit tab has been added to the course section tab set.  This tab can be used after scheduling students into course sections via the Roster Setup, Walk-In Scheduler, or other methods of scheduling. 

The Roster Batch Edit tool can be used to track students who need to repeat the course or if the student should not receive credit for the course.  Classes taken for no credit will still post on the student’s transcript, but with a Credits Attempted field set to zero.

A student’s placement in the selected course section can be entered by modifying a start and/or end date in the appropriate fields.  Entering an end date will move the student from the active student list to the dropped student list, and modify the student’s schedule tab to indicate the student dropped the course on the date indicated.  This feature can be used in place of the Walk-in Scheduler to add/drop students. Remember to be careful of your start and end dates to make sure you not lose any grading or attendance data.

Note: not all fields need to be modified/filled in for the tool to function

  • Enter a Start Date for the student. This is the date the student began attending this course section. Dates are entered in mmddyy format, or use the calendar icon to select a date.
  • Enter an End Date for the student. This is the date the student stopped attending this course section. Dates are entered in mmddyy format, or use the calendar icon to select a date. 
  • If the student should repeat the section, mark the Repeat checkbox.
  • If the student is not receiving credit for this section, mark the No Credit checkbox. 
  • Click the Save icon when finished.  Roster modifications will be updated.

Staff Locator Wizard

Path: Census>Staff Locator
Users have been able to use the Student Locator to find students and avoid creating duplicate students on the state edition. Now District Edition users will see a Staff Locator Wizard that will search the local database and the state edition database for matching staff members. Use this tool when adding new staff members to your system. When you find and select a staff person using the Staff Locator it reduces the time for data entry of that staff person’s information. It also reduces the likelihood of duplicate staff records.

Credentials Tab
Path: Census>People>Credentials tab

Teacher credentials are important for highly qualified calculations and the NCLB Report Card information. In the past, this was not collected from NASIS.  With the upgrade to 2010.1, schools now have the opportunity to record teacher credentials on the Credentials tab located in Census>People>Credentials tab.  All credential information for AYP and NCLB purposes are pulled from the Credentials Tab.

Teachers can have multiple credentials or be highly qualified in more than one area, so each credential must be entered separately.  To enter a new credential, select the Credential Type dropdown list.  A credential-specific editor will appear. Users who select the Licensure/Certification credential type will need to ensure that a proper start and end date are entered as well as a License Number and License/Certification Type.

Graduation Tab
Path: Student Information>General>Graduation tab

The Graduation Tab is used by BIE schools that have a high school.  The Graduation Tab allows schools to track graduation information used in geographic state and BIE reporting, Average Yearly Progress (AYP) determinations, and the No Child Left Behind (NCLB) Report Card. The tab also allows districts the ability to define when students entered ninth grade and their expected graduation dates.

The Graduation Tab is broken into two kinds of editors:  Enrollment Data and Graduation Detail.  The Enrollment Data editor is a read-only, auto-populated display of a student’s existing enrollment information from the calendar year they attended ninth grade. This section is useful when determining the appropriate dates and data to use with the Graduation Detail section.

The Graduation Detail section houses the NCLB cohort and NGA (National Governor’s Association) cohort end years. The NCLB Cohort End Year is populated by the date of the student’s first day of ninth grade. Users can have that field populated automatically by the enrollment tab or manually enter the date. To populate from the enrollment tab of a new student in grade 10 or higher, create an enrollment using the New Enrollment History tool on the Enrollments tab.

Employee Self Service of Demographic Data
Path: Census>My Data

  • A My Data tool has been added to the Census module that allows current staff to request modifications to their current demographic, employment and credential information. Only give tool rights to those staff members you want to allow to make these data requests.
  • Only current information is displayed. The My Data tool will not display or change historical data. Until the demographics portion of the My Data request tool is updated, please ensure that historical changes are tracked via the Identity tab.

  • If you allow staff members to request data updates using the My Data Tool, you will need to assign a staff member(s) that can approve the data change requests made by the staff members. Each change requested by the staff member needs to be approved using the Request Processor tool. Updates will not be made to their data until this process is complete.
